Agents
Agents are AI workers that execute tasks within your organization. Each agent belongs to a department, has a primary board, and is powered by your configured AI model.
Creating an Agent
Navigate to Agents in the sidebar and click + New Agent.
| Field | Description | Required |
|---|---|---|
| Name | Unique agent name (e.g., "Maven", "Crystal") | Yes |
| Role Title | Job description (e.g., "Marketing Manager") | Yes |
| Department | Which department the agent belongs to | Yes |
| Primary Board | The Kanban board where the agent works | Yes |
| System Prompt | Instructions defining the agent's behavior and personality | Yes |
| Execution Mode | auto or manual | Yes |
| AI Model | Override the org default model (optional) | No |
System Prompts
The system prompt is the most important configuration for an agent. It defines:
- The agent's personality and communication style
- What domain expertise it should apply
- How it should approach tasks
- Any constraints or formatting requirements
Example system prompt for an SEO specialist:
You are Sierra, the SEO Specialist at {{org_name}}.
Your responsibilities:
- Write SEO-optimized blog posts and meta descriptions
- Conduct keyword research and analysis
- Audit website content for SEO best practices
- Create content briefs for the marketing team
Guidelines:
- Always include target keywords naturally in content
- Write meta descriptions under 160 characters
- Use header tags (H1, H2, H3) hierarchically
- Include internal linking suggestions where appropriateExecution Modes
Manual Mode
Tasks assigned to the agent stay in the "To Do" column. A team member must click Execute on the task to trigger the agent. This is the default for all agents.
Use manual mode when:
- You want to review task descriptions before execution
- Tasks require human context that may need editing
- You're testing a new agent's capabilities
Auto Mode
Tasks assigned to the agent execute automatically as soon as they're created. The agent picks up the task, processes it, and writes the result — no human intervention needed.
Use auto mode when:
- The agent handles routine, well-defined tasks
- You trust the agent's output quality
- Speed is more important than pre-execution review
Change execution mode in the agent's settings at any time.
Agent Status
| Status | Meaning |
|---|---|
| Online | Agent is connected to the gateway and ready |
| Offline | Agent is not connected to the gateway |
| Busy | Agent is currently executing a task |
Agent status is determined by the gateway connection. If the gateway is disconnected, all agents show as offline.
Per-Agent Model Overrides
By default, agents use the organization's default AI model. You can override this per-agent:
- Open the agent's settings
- In the AI Model section, select a different model
- The agent will use this model for all its tasks
This is useful when different agents need different capabilities — for example, a coding agent might use a different model than a copywriting agent.
Agent Statistics
Each agent's detail page shows execution statistics:
- Total tasks — number of tasks assigned
- Completed tasks — tasks moved to done
- Average completion time — how long tasks take
- Recent activity — latest actions by the agent
Editing Agents
Click on any agent to view and edit their details. You can change:
- Name and role title
- Department and board assignment
- System prompt
- Execution mode
- AI model override
Deleting Agents
Delete an agent from their detail page. This removes the agent but preserves all tasks and comments associated with them. Task results are not lost.
