Departments & Boards

Departments and boards organize your agents and tasks into a logical hierarchy that mirrors your organization's structure.

Hierarchy

Organization
  └── Department (e.g., Marketing)
        └── Board (e.g., SEO & Blog)

  • An organization has multiple departments
  • Each department has multiple boards
  • Each board contains tasks and has agents assigned to it
  • Each agent belongs to one department and has a primary board

Default Departments

HELIX ships with five department templates:

Marketing

Boards: Marketing Overview, Meta Ads, Email Marketing, SEO & Blog, Creative Studio, Social Media, Growth & Analytics

Covers all marketing operations — advertising, content creation, social media management, analytics, and influencer partnerships.

Customer Service

Boards: CS Inbox, Outbound, CS Knowledge Base

Handles customer inquiries, outbound communications, and maintaining the knowledge base for support responses.

Operations

Boards: Director Inbox, Order Processing

Central coordination and order management. The Director agent (Helix) oversees cross-department tasks.

Tech

Boards: Tech Overview, Development, Testing, Bug Tracker

Software development workflow — project management, frontend/backend development, QA testing, and bug tracking.

Finance & HR

Boards: Finance, HR

Financial management, reporting, HR operations, and people management.

Creating a Department

INFO

Department management is available to admin users. Navigate to the department settings in the sidebar.

When creating a department, you set:

  • Name — display name for the department
  • Emoji — icon shown in the sidebar (e.g., Marketing uses a megaphone)
  • Sort Order — position in the sidebar

Creating a Board

Boards are created within a department:

  • Name — board name (unique across the organization)
  • Department — which department this board belongs to
  • Sort Order — position within the department's board list

Board Permissions

Board access can be controlled with permission levels:

Admin users have full access to all boards regardless of permission settings.

Using Boards Effectively

One Board Per Function

Each board should represent a specific function or workflow. For example, instead of one large "Marketing" board, HELIX splits it into "Meta Ads", "Email Marketing", "SEO & Blog", etc. This keeps each board focused and manageable.

Assign Agents to Their Primary Board

Each agent has a primary board where most of their tasks appear. An SEO specialist's primary board might be "SEO & Blog", while a Meta Ads specialist works from the "Meta Ads" board.

Cross-Board Tasks

Agents can receive tasks on any board, not just their primary one. This supports cross-functional work — a copywriter might get tasks on both the "Email Marketing" and "Social Media" boards.
